Medical Front Office Coordinator

Position Summary

We are seeking a friendly, organized, and patient-focused Medical Front Office Coordinator to join our pediatric practice. This role serves as the first point of contact for patients and families and is responsible for ensuring smooth daily front office operations while providing exceptional customer service in a fast-paced healthcare environment.

Key Responsibilities

  • Greet patients, parents, and visitors in a professional and welcoming manner.
  • Schedule and confirm patient appointments.
  • Register new patients and verify demographic and insurance information.
  • Collect copays, balances, and required documentation.
  • Answer and direct incoming phone calls.
  • Manage appointment reminders, referrals, and authorizations.
  • Maintain electronic medical records (EMR) and ensure accurate patient documentation.
  • Scan, file, and process medical records and forms.
  • Coordinate communication between providers, staff, patients, pharmacies, and outside healthcare organizations.
  • Assist with patient check-in and check-out procedures.
  • Maintain confidentiality and comply with HIPAA regulations.
  • Support clinical staff and providers with administrative tasks as needed.

Required Qualifications

  • Minimum of 2 years of experience in a medical office, pediatric office preferred.
  • Graduate of an accredited Medical Assistant program from a recognized institution such as: Community College Medical Assistant Program
  • Current Certified Medical Assistant (CMA) credential required.
  • Must have successfully passed a nationally recognized Medical Assistant certification examination administered by:
    • American Association of Medical Assistants (AAMA), or
    • National Healthcareer Association (NHA)
  • Experience with EMR systems and Microsoft Office applications.
  • Knowledge of medical terminology, insurance verification, and front office procedures.

Preferred Qualifications

  • Pediatric practice experience.
  • Experience with vaccine scheduling and pediatric patient workflows.

Education Required: Graduate of an accredited Medical Assistant program.

Certification Required: Current CMA certification through AAMA or CCMA certification through NHA. Documentation of certification must be provided prior to employment.
